Issa Homes is seeking a highly organized, detail-driven Selections Coordinator / Construction Administrator to support our luxury and semi-custom home building within the Bradenton/SeaFlower and Anna Maria Island area. This role works closely with — and directly supports — the Issa Homes leadership team, including owners, and is responsible for assisting and maintaining accurate systems, reporting, and communication across construction, sales, marketing, accounting, and external partners.
This is a fast-paced, high-responsibility position for someone who takes ownership, anticipates needs, and executes with precision.

Core Responsibilities
Construction, Trade & Team Support
-
Assist with pricing, bid tracking, and coordination with subcontractors and trades

Support the Construction Manager with schedules, documentation, and follow-through
-
Communicate professionally and clearly with subcontractors, vendors, inspectors, designers, attorneys, and brokers
Sales, Selections & Client Support
-
Assist with buyer selections coordination in partnership with sales and design
-
Support pricing updates related to selections, upgrades, and change orders
Ensure selections, pricing, and documentation are accurate and aligned across Buildertrend, XO, and internal records
Project, Data & System Management
-
Manage and maintain Buildertrend as the central platform supporting the field, office, and data needs of Issa Homes
-
Ensure Buildertrend is accurate, current, and fully aligned with active jobs, schedules, documentation, and communication
-
Proactively manage updates so leadership and team members do not need to follow up for information
-
Track lot progress, sales status, construction phases, and milestones across platforms and internal trackers

Build, maintain, and improve Excel and Google Sheets used for tracking, reporting, and internal decision-making
XO Platform & Developer Reporting (SeaFlower)

Maintain and manage XO, the developer-required platform for SeaFlower
-
Prepare and submit weekly reports through XO, including:

Sales activity
-
Buyer traffic
-
Lot status
-
Elevation approvals
-

Ensure all XO submissions are accurate, complete, and submitted on time in accordance with SeaFlower developer requirements

Coordinate internally to confirm data prior to submission to avoid errors or approval delays

Serve as the point person responsible for Issa Homes’ ongoing compliance with SeaFlower reporting and approval processes
Reporting & Accuracy

Prepare and deliver regular, structured reports for leadership covering project status, lot activity, sales progress, and key milestones

Maintain an exceptionally high standard of accuracy and attention to detail — errors in reporting, documentation, or communication are not acceptable

Proactively audit Buildertrend, XO, and internal trackers to identify and correct inconsistencies before they become issues
Permitting & Municipal Coordination

Work within county permitting systems and processes, tracking submissions, revisions, approvals, and follow-ups
-
Coordinate with architects, engineers, and consultants to ensure timely, accurate permit documentation
Product, Community & Buyer Knowledge

Develop and maintain a working knowledge of:

Issa Homes’ product line, including floor plans, elevations, options, and pricing structure

SeaFlower’s community vision, amenities, approvals process, and lifestyle positioning
-
Buyer personas, including primary residents, second-home buyers, and luxury buyers
-

Understand how product selections, pricing, and timelines impact the buyer experience and developer approvals
-
Confidently address general internal and external questions related to product, community, and process
-
Know when and how to escalate more detailed sales or pricing inquiries to sales leadership
Leadership & Administrative Support

Provide direct support to Issa Homes leadership, including the owner, construction management, sales, and marketing
-
Maintain organized, accurate digital records and documentation
-
Uphold excellent written and verbal communication standards across all correspondence
Required Skills & Experience
-
5+ years of experience in luxury residential construction, real estate administration, or a related field. College degree preferred - not required.

Strong working knowledge of Buildertrend (preferred)

Proven ability to build and manage Excel and Google Sheets for reporting, tracking, and analysis

Experience producing regular reports for leadership and external stakeholders

Exceptional attention to detail and accuracy

Excellent verbal and written communication skills

High proficiency in Microsoft 365 (Excel, Word, Outlook)

Comfortable leveraging AI tools and technology to improve productivity and workflow efficiency

Familiarity with Canva or similar digital marketing tools

Work Environment & Expectations

This is not a remote position

Approximately 40 hours per week, with flexibility

Occasional weekend or after-hours availability may be required

This is not a traditional 9–5 role — ownership, responsiveness, and follow-through are expected
Compensation & Benefits

Compensation is commensurate with experience and skill level

Salary range: $65,000–$85,000+, depending on experience
